The Subject of Being too Busy is a Broken Record

The term “broken record” describes something that is frequently repeated — it refers to a damaged record that would get stuck and repeat part of a recording over and over again until you moved the record player needle.

This describes the current topic of “busy”.

Every conversation that I currently have with subcontractors, suppliers and customers, starts, ends or is all about this subject. Throughout my career in construction this has been a popular topic, but no more than now. It’s like a broken record.

Construction is where the majority of my conversations happen, but “busy” is everywhere. I’ve had the “busy” conversation with a lot of people in a lot of places, i.e., masterminds, workshops, church, etc.

The “busy” conversation is nothing new.

As a matter of fact, I’ve written about this topic since I’ve been posting blogs. In October of 2015 I wrote about easing the stress of being too busy.

This morning as I was posting in my journal, I started thinking about all of the things that I didn’t get done yesterday. Then I began to think about how many times I have posted this same thing over and over. It sure seems that I spend way too much time feeling overwhelmed and behind. I really want to get more done!

Then I thought about all of the times that I’ve had this conversation with other people. “How is your day going? Man, I am so far behind I don’t think I will ever get caught up. I sure wish there were more hours in the day.” I have heard these or similar comments more times than I can count.

Our lives can feel like a 20,000-piece jigsaw puzzle was dumped out in front of us with no picture of what it is supposed to look like when it’s done.

So how can we get all of these pieces to fit…or can we? This is the big question. It would be nice to know what the finished puzzle is supposed to look like. This puzzle can be tough and frustrating. I think it is especially difficult for those of us who are ‘recovering perfectionists’. We want all the pieces to fit just right. To know ahead of time exactly where each piece is supposed to go. This particular puzzle, called life, doesn’t work like that.

Here are some reasons we struggle with our puzzle and some ideas to help us get our pieces to fit.

  • We pick up too many pieces by over scheduling. There are so many pieces…Start with the corner pieces. Put in the most important pieces first.
  • The puzzle isn’t going together as fast as we want. Sometimes (most times) things just take longer…do as much planning and preparation as we can before we start, but don’t over plan. Spread the pieces out, find the edge pieces and get started.
  • With so many pieces in front of us we lose our focus. After we have put the edge pieces in place…remember that we can only put one piece in at a time. Concentrate on that one. If it doesn’t fit, then pick up a different piece and focus on it.

Life is a puzzle. What really makes this puzzle fun and exciting is that while we are putting our puzzle together other people are doing the same thing and their puzzle connects to ours.

Taking control of the “busy” requires that we are clear about our mission and only pick up puzzle pieces that belong in our puzzle.

Just like a “broken record” if we don’t want to keep listening to the stuck and repeating recording…we have to move the needle.

It’s One of Satan’s Most Powerful Tools

Life can be overwhelming if we let it. Most of us are trying to do more than there’s time for. Trying to get control of this runaway train can be discouraging.

There is a story about Satan having a yard sale. He spread out all his favorite tools on tables and placed prices on each. One buyer purchased a sparkling well-kept tool labeled anger for a reasonable price. Another bought a slightly worn jealousy tool for a little more. All day long people came and went, near the end of the day a man saw an old tool laying on a table in the back. It was rusted and worn, the hinges squeaked, and the handle was partly broken, but the price tag was exuberant! It cost a lot more than any of the other tools. Even lust has gone cheaper. “Why is this so high?” the perspective buyer asked. “Ahhh” replied Satan, “That is my most effective and often used piece of equipment and I hesitate to let it go. Christians can eventually get over almost all of my other weapons. They can recover from lust, greed, and envy. But this tool works quietly without them even being aware I am using it. I can slip it in and keep them defeated for a lifetime. That tool is ‘discouragement’” he hissed. “I remind them of their sins and failures. Of how weak they truly are and they never even know what I am doing.”

We are so easily convinced we don’t have what it takes. I can’t do that…who am I kidding. The more time we spend thinking these thoughts the bigger they seem.

A boy was walking through the woods and came upon a house that belonged to a witch. As he approached the witch turned in to a black cat and started chasing him. The boy ran and every time he turned to look the cat was bigger. Then he stumbled and fell and when got up he was looking the cat in the eye. The cat just stood there looking back. Then the boy took a step toward the cat and the cat got smaller. Another step and it got smaller again. Then the boy started chasing the cat. The whole time the cat continued to shrink until it got back to the house when it turned into a mouse and was never seen again.

Our fears aren’t as big when we face them head on.

Don’t let your fears or doubts discourage you and keep you from doing the great things God has planned for you.

It’s Hard to Remember That Not Everyone Gets It Like I Do

We Have to Look at it From Their Perspective

We are so close to who we are and what we know that when we’re communicating with others, we assume they understand. This is not the case. Most of the time when we’re talking about that thing we do…they’re overwhelmed.

We need to sperate ourselves from our calling if we’re going to communicate clearly.

We forget, or don’t even know, that what seems so basic and simple to us, isn’t to them. We’ve all been made with a specific unique gift, one that only we have. Sure, as many people as there are, there’s overlap. I’m not the only construction contractor in the whole world. I am however, the only one who does it the way that I do it.

This situation has become evident in several different situations recently.

Last week I wrote about my preparing to work with Bryan Switalski with Clarity Consulting. After our meeting I was feeling more overwhelmed than before. I was questioning if I had what it was going to take to do the digital marketing thing.

The next day was our weekly mastermind meeting. As I listened to the others in the group share their frustrations in connecting with the people who they knew would benefit from their knowledge or products. In my mind I was saying “Amen, preach it.”

Often before when listening to the group I would feel overwhelmed and inadequate. Listening to them I thought I was in way over my head. They would use terms that I didn’t know or understand. What struck me the most this day was how I realized that they’re struggling with the same struggles I am.

Then the light bulb came on. They, like me, were too close to their calling.

Their struggle, like mine, is the need to step back and look at this from the customer’s perspective. Over the years I’ve figured out how to do this with my construction customers without even knowing I was doing it.

This was confirmed the next day when I met with some potential customers for the third time. As we reviewed the floorplan of the remodeling project, they had questions. As we discussed the project more, I became aware of additional information that helped guide the direction of the project. Now we’re heading in the direction moving them toward their dream.

Too often contractors wouldn’t meet this many times or listen this much. Too often customers would just presume that the first plan was the only plan and this is as close to their dream as they’re going to get.

Now if I can learn to do this same thing with coaching and consulting customers.

After meeting with the construction customers, I began to think about my meeting with Bryan. As a customer I didn’t feel that I had given him enough information to do his job. I was feeling that “lost and overwhelmed customer feeling”. I sent him an email apologizing for my earlier rambling when we met.

Later that same day I received a response with a 10 minute recorded video explanation of the plan and how the parts will fit together, more details, a reiterated short list of what he needs from me and the reassurance that this project will be great when we’re done.

I’m sure Bryan was thinking, this is so simple and easy, but he never hinted to that. That’s what we professionals do when we’re working in our called vocation.

It’s hard to remember that they don’t get it like we do and to view the project from their perspective.

Now I need to separate myself from my calling and come up with a list of reasons that construction contractors need to make better proposals.

It’s Time for the First Meeting

And John’s Not Sure He Can Squeeze It In

It’s Friday and John’s in his normal state of overwhelm. He’s supposed to be meeting with Gene tomorrow afternoon to go over the Blueprint for Building a Better Proposal system and he doesn’t know how he can fit it in.

There are still so many things that need to be done.

“Maybe we can reschedule,” thinks John, I’ll just give Gene a call and see about moving the meeting back a week. “Okay, that’s enough.” John says to himself. “The whole purpose for this meeting is to change things, so that I don’t have to feel this overwhelmed.”

I’m tired of always feeling out of control.

John pulls up in front of the XYZ Construction Company office and admires the building. As he gets the pizza out of the truck and goes up to the front door he thinks, “I sure hope I can have a place like this someday.” As he walks through the door Gene greets him with a solid handshake and a grin as he says, “I wasn’t sure that you would make it.”

“I wasn’t sure either.”, John says with a smile. “I came really close to calling yesterday, to see about rescheduling. “I’m glad you didn’t.”, replies Gene. “You’ve taken the hardest in a series of hard steps.”

“The first step is the hardest. It requires a change of thinking and direction.”

“Bring the pizza and let’s go into the conference room.” As they make their way into the spacious comfortable room John thinks back on when they used to have their weekly production meetings in this very room. Looking back, he realizes how much he had taken what Gene has accomplished for granted.

Gene hands John a plate and they both get some pizza. “There’s water and soda in the fridge like always.”, says Gene, “Help yourself.” As they set down and start eating Gene asks John, “Why did you go into construction and start your own company?”

“Why do you do what you do?”

John sat there for a while chewing his pizza at the same time chewing on this question. “Why was he doing this?” He had asked this question a lot, but it was usually a question of frustration, not really looking for an answer.

After what seemed like an eternity, John answered, “I really don’t know. I suppose that seeing what you had accomplished, I wanted the same thing.”

“That’s the same answer I would have given when I started XYZ Construction.”, agrees Gene. “It wasn’t until I realized that to have a successful and profitable business, one that I was running rather than it running me, I needed to make some changes. One of those was to answer this question.”

“The WHY is more important than the HOW. Maybe your why is to make a lot of money, the enjoyment of building, the control that comes with owning your own company, something completely different or a combination of things.”

“Do you love what you do? In your current situation, do you even like it?”

Now John has another unanswered question to ponder. “Does he like what he does. Life sure was easier when he worked for Gene. What is it that prompted him to go into business?”

Gene interrupted John’s thinking, “John you probably won’t get the full answer to these questions today and we’ve already been discussing this for a couple of hours. I would suggest that you take some time to think about these and dig down deep to find the answers.”

“The answer to these questions are the foundation you will build your business on.”

“Before we run out of time today, let’s move on to the topic you came for, Building a Better Proposal. Just like the why question for your business, you should answer the why question about proposals.”

“Why do we need to do proposals?

“John, there is a huge gap between the construction industry and customers. The biggest portion of this gap is poor communication. Even when attempting to communicate clearly it can go badly. Let me give you an example.”

“Several years ago, when meeting with a customer early in the process of building a new home. The customer pointed out that the distance from the electric meter to the house was more than the 50’ allowance, as per the agreement. He asked if this was a problem. He was told it wasn’t a problem. Guess what…”

“It was a problem.”

“The problem didn’t surface until later when the customer was billed for the additional 100’. After some research, the communication breakdown was uncovered. The customer asked, “if it was a problem”. What he really was asking was…”is it going to cost more?”.”

“The response ‘in reality’ was, “It’s no problem to dig the additional 100’, but it will cost you more.” Neither party intended nor expected this to be a problem. It was a simple matter of misunderstanding…a lack of communication.”

The bulk of the communication responsibility is the contractor’s, we are the professionals after all.

“As we wrap up today John, I would recommend that we schedule some time weekly to work through the proposal system. I know that you don’t feel like you can spare the time, but I would point out that if you want things to be different it is going to require you to do some things different.”

John thought about this for a few minutes, “I get excited about the possibilities for my future every time we talk about this. Let’s do it. How does next Saturday, same time and same place work for you?

“If I don’t commit to doing something different, nothing will change.”

Gene got a big smile and remembered when he had made this same decision. He was encouraged about John’s future and excited to be a part of it. “Remember when you called me a few weeks back and how frustrated you were? And then in the next call we discussed the possibilities for your future? Think on these things and your why as you study the pages from today. When we get together next week, I want to hear about your why and we’ll go deeper into the Blueprint for Building a Better Proposal system.

“As you go through them write down any questions you have, and we’ll discuss them next week.”

What Does It Mean to Have Clarity?

Really, I Just Want to Know!

What is “the thing” that I’m supposed to be doing? How do I know if that’s “the thing”? Maybe I should be doing “that other thing” instead? Where should I go from here? How do I know if that’s the right way? Am I the only one who feels this lost? What’s wrong with me?

So many questions, this is making my head hurt!

When I was growing up, I knew exactly what I was going to do for the rest of my life. I was going to farm with my Dad, just like he was farming with his. This was a great plan and it was going well until those plans got changed. When I was in my early thirties my Dad died, at fifty, of cancer.

We were farming together, he owned some of the equipment and I, using borrowed money, owned some. The problem at this point was, I couldn’t afford to buy his part so…I got out of farming.

In addition to farming I had been doing construction for most of the previous ten years as well. I liked doing it, was good at it, so this seemed like the logical thing to do, and it was.  

As life went on, I again began to give up on dreams, those unachievable fantasies. Who was I kidding? I wasn’t ever going to achieve anything more than mediocrity. It’s not that life wasn’t good; it was just…unfulfilled.

Then God got my attention with a board upside my head.

I survived an accident and was still alive…God wasn’t done with me yet. It was at this point I began dreaming again and believing anything was possible. I had new dreams and plans. I was excited about the possibilities…but now seven years later, I’m still trying to figure out how to turn those dreams into reality. Maybe there isn’t anything more.

I better be careful; God may do something to get my attention again.

Over the past seven years I’ve been searching for clarity and direction. I’ve prayed, read, studied, researched, listened, watched, multiple different things from a lot of different people. All good advice and very inspiring. Why is nothing changing? What am I doing wrong?

It’s been said that a rut is just a grave with both ends kicked out and here I am stuck in a rut of my own making. Walking back and forth looking for a way out isn’t working; it’s just making the rut deeper.

If I want to get out of this rut, I need to stop doing the same things hoping for different results.

God has big plans for us, and He will move mountains to create opportunities for us to achieve them. It’s up to us to move ourselves. I believe it’s Satan that causes us to stop short of those big God plans. It’s much better for him if we don’t achieve those successes. He’s the one who plants the doubt and fear. Telling us that we don’t have what it takes to do that big thing…who are we kidding.

Over the last seven years I knew my purpose and what I was supposed to be doing. This website and these weekly solutions are all part of that. At the same time, I felt as though I was just pretending…It really wasn’t going to happen. Look at the small number of follower’s that I have. No one cares about what I have to say.

Stop this, you’re being ridiculous.

In an effort to get different results, over the last few months I’ve done some “different”, some really big “different”. Big commitments of both time and money. Doing things that are way outside of my comfort zone. One of these things was joining Ray Edward’s Kingdom Builder mastermind group. This involves a weekly virtual meeting with a group of twelve specifically chosen people from around the country.

We’re just getting started and in our second meeting this past week, I was feeling overwhelmed. Once again, I asked myself, who am I kidding? I don’t belong in this group. I don’t have what it takes. These people are much better at what they’re doing than I am. I can’t afford this.

It’s happening again…Satan just shut up!

After the meeting…and wallowing a little…I remembered something that Ray said during a podcast, “Clarity starts with making a decision”. Most of us are waiting for clarity to be a simple light bulb moment. We expect it to be a bright shining mansion in the distance with a perfectly clear and straight path to get there and a chauffeur driven limousine to take us. This isn’t the way it works; clarity happens after we decide and do.

In Ray’s podcast, 7 Steps to Getting Clarity he pointed out things that if we decide and do, clarity will follow:

  1. Calling – Our purpose, the thing we are called to do.
  2. Commitment – We need to be all in.
  3. Credibility – Others see our ability in the area.
  4. Congruent – It’s something we love doing, it comes naturally.
  5. Connection – We naturally connect with those we serve.
  6. Competence – We have God given skills in this area.
  7. Consistency – We keep doing it regularly and don’t quit.

As part of my daily journaling I read Proverbs 3:5-6 every morning. “Trust in the Lord with all your heart; do not depend on your own understanding. Seek His will in all that you do, and He will show you which path to take.”, New Living Translation.

The day after the meeting last week when I read this, for the first time I realized something that confirmed what Ray was saying. It doesn’t say, trust in the Lord, seek His will and He’ll give you everything that you dreamed. It says trust in Him, seek His will in all that I DO, and He’ll show me the path.

He will show me the path…He’s not going to DO He’s going to SHOW. It’s up to me to DO. It’s good to pray, read, study, research, listen and watch, but none of this is going to DO me any good if I don’t DO something.

Clarity’s not in here…it’s out there. If I want it, I have to decide and then go get it.
